We are a friendly, specialist medical practice seeking a dynamic and professional Medical Receptionist to join our team of four female gynaecologists specialising in infertility and IVF in our office based in The Junction, Newcastle, NSW.

This position will be 3 days per week, Tuesday, Thursday and Friday from 9am - 5pm. It will suit you if you enjoy being part of a supportive, close-knit team and take pride in providing exceptional patient care.

Experience as a medical receptionist is desirable. The ability to work extra days when required for leave is a must.

About You

We're looking for someone who is:

  • Experienced in medical reception (essential)- minimum 1 year required

  • Warm, professional, and confident communicating with patients and clinical staff

  • Able to multitask in a busy environment with strong attention to detail

  • Reliable, flexible, and a genuine team player

  • Non-judgmental, open-minded, and respectful of our diverse patient base

  • Must have valid Australian work rights

Key Responsibilities

  • Answering incoming calls and booking appointments with accuracy and empathy

  • Excellent phone manner & kind, empathetic attitude

  • Greeting patients, creating files, and processing payments

  • Coordinating operating lists, procedures and liaising with hospital staff

  • Managing patient correspondence and enquiries via phone and email

  • Scanning, filing, and typing medical notes via dictation

  • Processing Medicare and health fund claims

  • Maintaining an organised and well-presented reception area

  • Liaising & communicating with Genea Newcastle IVF clinic
