Reception Administration  (Psychology Practice) – Casual/Part-time 

We are a thriving psychology practice looking for a warm, friendly, and motivated Receptionist/Administrator to support our Practice Manager. We are interested in applicants looking for casual work, 16 hours a week.

Anona House, located in Hamilton, provides psychology and psychiatry services for people of all ages. We operate out of a beautiful, heritage-listed house that includes five consulting rooms and staff parking. About the Role

In the role of Receptionist/Administrator, you are a critical member of our team and play a vital role in creating a welcoming experience for our clients. The role provides administrative support for five consulting rooms. The weekly working hours can be customised to fit the needs of the right applicant, taking into account their other commitments.

Responsibilities include:

  • Outstanding level of customer service

  • Interacting with clients in person, on the phone, and via email, greeting and assisting with their enquiries

  • Diary management for our team of clinicians

  • Processing payments on merchant terminal and online

  • Processing Medicare and DVA rebates

  • Management of third-party invoices and remittance advice

  • Management of client referrals

  • Liaison with referrers and other third parties

  • Management of client records

  • Filing documents

  • Incoming and outgoing correspondence

About You

We are seeking someone who has a warm and caring nature, who is committed to creating a positive experience for our clients. Someone who takes pride in their work and has the ability to use their initiative to support the running of the practice.

 Someone who has: 

  • Patience and understanding for our clients with mental health difficulties

  • Previous experience in working as a receptionist or administrator, with a strong preference for previous experience reception in a psychology practice or health/medical role

  • Previous experience using on appointment diary software (We use Zanda)

  • Able to self-manage tasks that need to be completed each day

  • Strong organisational and time management skills
