We are seeking an experienced and detail-focused Defects Coordinator to manage the estimating and quoting of fire protection defects identified through inspections, service reports, repair attendances and technician findings.

The role involves reviewing defect information, preparing scopes of work, estimating labour and materials, obtaining supplier or subcontractor pricing where required, and issuing clear, accurate quotations within required timeframes.


What You’ll Do:

  • Review defects identified through inspections, service reports, repair attendances, AFSS assessments and technician findings.

  • Interpret technician notes, photographs, asset records and technical information to determine the required rectification scope.

  • Prepare clear scopes of work and estimate labour, materials, equipment, access, travel and subcontractor costs.

  • Obtain supplier and subcontractor pricing where required.

  • Prepare accurate, itemised and commercially sound quotations, including relevant assumptions and exclusions.

  • Follow up technicians, assessors, supervisors and suppliers where information is incomplete or unclear.

  • Prioritise urgent, critical and AFSS-related quotations.

  • Maintain accurate quote records, supporting documents and status updates in Uptick.

  • Respond to quote queries, revise scopes and provide clarification where required.

  • Liaise with scheduling and service teams to support approved works.

  • Escalate technical, compliance or commercial risks to the appropriate manager.

  • Support improvements to estimating templates, pricing and defect quoting processes.

 

What We’re Looking For:

  • Experience in estimating, quoting, defect coordination or service administration, ideally within fire protection or a related trade services industry.

  • Ability to interpret technician reports, photographs, asset records and technical notes.

  • Sound understanding of labour, materials and subcontractor cost build-ups.

  • Strong scope writing, communication, organisational and time management skills.

  • High attention to detail, commercial awareness and the ability to manage competing priorities.

  • Confidence following up technicians, suppliers, subcontractors and internal stakeholders.

  • Proficiency in Microsoft Office and service management systems.

Highly Regarded

  • Experience using Uptick, Simpro or similar systems.

  • Experience quoting fire protection defects and rectification works.

  • Knowledge of AS 1851, AFSS processes, essential fire safety measures and relevant Australian Standards.

  • Trade or technical experience in fire protection, electrical, plumbing, sprinkler fitting, passive fire or building services.
